Clients must provide a minimum of 48 hours' notice for cancellations. Failure to do so will result in a cancellation fee equivalent to 50% of the session fee.
Appointments canceled with less than 24 hours’ notice or failure to attend without prior notification will be charged the full session fee.
2. Payment Terms
All invoices must be settled prior to the appointment to confirm your booking. Sessions are not secured until payment has been received, and unpaid bookings may be released without notice.
Block bookings must be paid in full at the time of booking to qualify for discounted rates.
Invoices not paid within 7 days of issue may incur a £10 administrative fee.
Accepted payment methods include bank transfer or online payment via Stripe. Bank details are provided on your invoice.
3. Refunds & Rescheduling
Refunds will only be issued in exceptional circumstances and at the sole discretion of the therapist.
Sessions may be rescheduled with a minimum of 48 hours' notice, subject to therapist availability.
In the event of a change to a block booking, every effort will be made to reschedule the appointment within the same week; however, this cannot be guaranteed and remains subject to availability. Clients acknowledge the inherent risk of losing a session if rescheduling is not possible. We will endeavor to accommodate changes requested with at least 48 hours’ notice, but availability is dependent on demand.
4. Travel Costs
Home visits or community-based sessions may incur an additional travel fee of £0.55 per mile.
Travel fees will be confirmed and agreed upon at the time of booking.
5. Client Responsibilities
Clients are expected to arrive on time for their appointments. Late arrivals may result in a shortened session without fee adjustment.
Clients and their next of kin must disclose any relevant medical conditions or changes in their health status that may impact therapy.
Clients are expected to attend scheduled sessions and take an active role in their therapy, including following up on agreed actions where appropriate.
Repeated cancellations or non-attendance may result in discharge, as regular engagement is essential for progress.
6. Confidentiality & Data Protection
All client records and personal information are handled in strict confidence and in compliance with data protection regulations.
Information will only be shared with other healthcare professionals with the client’s explicit consent unless required by law.
7. Therapy Outcomes
While every effort is made to support clients in achieving their therapy goals, no guarantees can be made regarding outcomes as they are influenced by individual factors.
Clients are encouraged to engage in prescribed exercises and therapeutic interventions outside of sessions to maximize results.
Therapy goals will be reviewed regularly between the therapist and the client. This will serve as an opportunity for clients to discuss any questions or concerns regarding their progress.
8. Changes in Medical Conditions
Client Obligation: Clients, or their legal guardians, are required to inform the therapist of any changes in medical status, medications, or treatments that could affect therapy. This ensures that interventions remain appropriate and safe.
Therapist Assessment: Upon notification of a change in medical condition, the therapist will reassess the therapy plan and make necessary adjustments to accommodate the client's current health status.
Medical Clearance: In certain situations, the therapist may request written clearance from a medical professional before continuing or modifying therapy sessions.
