Who we are. NexGen Neurotherapy Ltd (company no. 16840429) is the data controller for personal information collected through this website and our services. Contact: admin@nexgenneurotherapy.com.
What we collect. Contact details you give us (name, email, phone, organisation, postcode area) and the content of your message. If you become a client, we also hold health information needed to provide occupational therapy.
Why and on what basis. To reply to enquiries and referrals (legitimate interests, or steps before entering a contract); to provide healthcare (contract and, for health information, the provision of health care under UK GDPR Article 9(2)(h)); and to meet legal and professional record-keeping duties. We only send updates if you opt in, and you can unsubscribe at any time.
Who processes it. Website form submissions are received and stored by Netlify, our website host, and emailed to us. Call bookings use Calendly. Fonts are served by Google Fonts. We don’t sell your data or use advertising or tracking cookies. Please don’t send detailed medical information through website forms; we’ll provide a secure way to share documents.
How long we keep it. Enquiries that don’t lead to a service are deleted within 12 months. Clinical records are kept in line with professional guidance for health records.
Your rights. You can ask to access, correct or delete your information, or object to its use. Email admin@nexgenneurotherapy.com. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office.
Terms: a summary
This is a short summary of how we work. Before any work begins, you’ll receive the full service agreement that applies to you, and that agreement takes precedence. Nothing here affects your statutory rights.
Services. Specialist occupational therapy assessment and treatment, face to face or remotely where clinically appropriate. The scope of each piece of work is confirmed individually.
Fees. You’ll receive a quote and the applicable rates before booking. Fees and payment arrangements differ for people arranging OT themselves and for commissioned (case-managed or funded) work.
Travel. For face-to-face visits, travel time is charged at £80 per hour and mileage at 55p per mile for the return journey. Agreed parking, tolls or congestion charges are passed on at cost. Travel is confirmed before booking, and virtual sessions have no travel charge.
Payment. If you’re arranging OT yourself, you pay when booking. Commissioned work is invoiced monthly, with payment due within 7 days unless otherwise agreed.
Cancellations. Please give at least 48 hours’ notice. If you’re arranging OT yourself and cancel with more than 48 hours’ notice, we’ll offer a refund or a credit to use within 60 days. Late cancellations or missed appointments may be charged as set out in your agreement and in line with the law.
Outcomes. We work towards goals agreed with you, but we can’t guarantee clinical outcomes.
Consent and confidentiality. We ask for your consent before assessment and treatment. Your information is kept confidential in line with UK GDPR, the Data Protection Act 2018 and HCPC standards, and is only shared with the people involved in your care with consent, or where the law requires it.
Professional standards. Clinicians are HCPC registered, hold enhanced DBS checks and are covered by professional indemnity insurance.
Concerns and complaints
If you’re unhappy with any part of our service, please tell us. Email admin@nexgenneurotherapy.com and Zeba will acknowledge your concern within five working days and aim to resolve it within 20 working days. If you remain concerned about a registered professional’s fitness to practise, you can contact the HCPC.
Safeguarding
We are committed to safeguarding the children, young people and adults we work with. All clinicians hold enhanced DBS checks and follow local safeguarding procedures. If we’re concerned that someone is at risk of harm, we will act in line with those procedures and our legal duties.
The Identity Reset (coaching)
The Identity Reset is a coaching service. It is not a healthcare or occupational therapy service and does not provide assessment, diagnosis or treatment. Coaching is provided under a separate coaching agreement.
